Reducing Missed Appointments: How Quality Improvement Supports Patient Care

Reducing Missed Appointments How Quality Improvement Supports Your Care

For patients living with a blood disorder, consistent care is essential to maintaining overall health. Regular appointments allow your care team to monitor your condition, adjust treatments, and help prevent complications.

But we also understand that getting to every appointment isn’t always easy.

That’s why our team is actively working on a Quality Improvement (QI) initiative focused on reducing missed appointments (also known as “no-shows”) to better support you and your care experience.

Why Do Missed Appointments Matter?

When an appointment is missed, it can have a ripple effect, not just for the clinic, but for your health.

Missed visits may lead to:

  • Delays in care or treatment adjustments
  • Increased risk of complications
  • Fewer available appointments for other patients
  • Added stress for both patients and care teams

Most importantly, missing appointments can make it harder for you to stay on track with your care plan.

Our goal is simple: to make it easier for every patient to receive the care they need when they need it.

Listening to Our Patients: Understanding the Barriers

Through conversations with patients and families, along with input from our care teams, we’ve identified some of the most common reasons appointments are missed:

  • Transportation challenges or long travel distances
  • Work, school, or caregiving responsibilities
  • Financial strain
  • Health-related barriers or other social needs
  • Missed reminders or outdated contact information

These challenges are real, and they’re exactly why a one-size-fits-all approach doesn’t work. Instead, we’re focusing on solutions that meet patients where they are.

What We’re Doing to Help

As part of our Quality Improvement efforts, we’ve introduced several strategies designed to make attending appointments easier and more accessible:

  • Transportation Support – For patients who qualify, we help coordinate transportation services or work with insurance providers to reduce travel barriers.

  • Stronger Appointment Reminders – We now use multiple ways to reach you, including phone calls and text messages.

  • Flexible Scheduling Options – Life happens. If something comes up, our team is here to help you reschedule as early as possible, so you don’t miss important follow-up care.

  • Real-Time Tracking – Behind the scenes, our QI team is closely monitoring appointment trends. This helps us quickly identify when additional outreach or support may be needed.

  • Patient Education – We take time during visits to explain why regular care matters, so you feel informed and empowered in your health journey.

A Team-Based Approach to Your Care

Supporting patients goes beyond scheduling appointments. Many of the barriers that lead to missed visits (like transportation, financial concerns, or life transitions) are areas where our care team can step in and help.

For example, our social worker plays a key role in connecting patients to resources, navigating challenges, and providing ongoing support. You can learn more about how they support patients in our blog on the role of social workers in comprehensive care.

Looking Ahead

This Quality Improvement initiative is an ongoing effort, and we’re continuing to learn from our patients every step of the way. By listening, adapting, and improving our processes, we aim to create a care experience that is not only high-quality but also accessible, supportive, and centered around you.

At the end of the day, quality improvement is about making sure every patient can receive consistent, compassionate care when they need it.
